STATEMENT OF WORK
CYBER RECRUITER IMPLEMENTATION
Contract
Reference. This Statement of Work (“SOW”) is herein
incorporated and made a part thereof of the Professional Services Agreement
posted at www.visibilitysoftware.com/terms.
To the extent this SOW provides additional terms and provisions to the
Professional Services Agreement, the terms of this SOW shall prevail. All dates
referenced refer to calendar (not business) days.
Completion
Time. Upon execution of this
Statement of Work
· Customer will pay Visibility or Partner, the
agreed upon cost for implementation services.
· Visibility will schedule the Project Kick-Off
upon receipt of the signed Statement of Work and payment of services.
· Customer can place the project on-hold at any
point; projects on-hold may incur additional costs for having to re-execute
training or other activities already completed.
· All services requested will be considered
satisfied 180 days from the Project Kick-Off date.
Customer
Will
· Determine their project team
· Designate one (1) employee to be their Project
Coordinator and will notify Visibility of the same. Visibility’s Project
Manager will work with the Project Coordinator in providing the Services.
· Determine up to five (5) core team members to
be part of the implementation team.
· Determine the IT members of the team.
Customer’s
Implementation Team Will
· Make recruiting process and setup
decisions.
· Be involved in all product usage and
administrative training sessions.
· Work together to ensure information is
understood and disseminate topics to absent team members.
· Gather and provide recruiting forms (requisition
request, application, interview evaluation, reference checking, on-boarding, and
offer letters, etc.) Visibility Project
Manager will review the forms to make recommendations on what information
should be contained in Cyber Recruiter.
· Determine a contact for the applicants and
users in case of login issues with the system.
· Work with Customer Technical Team, if needed,
to gather and provide data for conversion (codes, users, employees, applicants,
requisitions) in prescribed Excel spreadsheet format.
· Review and approve all data prior to and after
data import into Cyber Recruiter.
· Be responsible for training materials to be
used internally to train hiring managers, approvers, and additional staff.
· Import the data into Cyber Recruiter with
oversight from Visibility Project Manager.
Customer’s
Technical Team Will
· Prior to initial product configuration meeting,
provide a logo, fonts and font attributes (i.e. colors, sizes, font type, etc.)
to be used for the Cyber Recruiter Careers, Self Service and Agency portal
sites
· Establish an email address which can be used as
a “default” (i.e. jobs@yourcompany.com) for
automatic emails generated from Cyber Recruiter.
· Update the corporate website to point the
careers section to the newly created Careers site controlled by Cyber
Recruiter.
· Apply Visibility supplied credentials to the DNS
which will be used for email addresses.
This will provide verification coming from Cyber Recruiter.
· Open any necessary ports required for
integration.
Visibility
Project Manager Will
· Develop a Project Plan (single database and
single careers site), define roles and responsibilities, pull additional team
members into project as needed, set a timeline for the project and review with
the Customer.
· Provide the following tools to the
Implementation Team
o Standard procedure guide for the Customer to update
and modify
o Exercise guide
o Access to “Basecamp” (Visibility Project
Management tool) for the duration of the project.
o Links to Help Central where Customer can read
about additional features and view recorded training sessions.
· Review information for the data migration of applicant,
requisition, and user files provided in an xls to ensure proper formatting.
· Communicate necessary changes before the
Customer performs the importing process (see appendix for details on standard
fields).
· Assist with configuring the mapping tool for
the applicant, requisition, and user files for the conversion process based on
the spreadsheets provided. This process
will be available via the administrative menu for ongoing importation of data
after the implementation.
· Perform one import of “document” formatted
resumes (the resumes cannot be scanned images). This option is ONLY available
to clients using “Professional” or “Advanced” who are not importing Applicant
data using spreadsheets.
Visibility
Technical Team Will
· Provide a career page with a logo for branding
purposes.
· Update the page with fonts and font attributes
provided by Customer.
· Configure HRIS integration utilizing existing
integrations
System
Modification: Customer will start with a system designed to
be used immediately with minimal modification.
Visibility Project Manager will modify this system in the following
areas which are client specific, based on client feedback.
· Users based on the Customer provided
spreadsheet
· Default Requisition Request Form and supporting
drop-down values
· Job browsing (careers page) setup
· Default Online Application components and
supporting drop-down values
· Employee Referral Module (as necessary)
· Agency Portal (as necessary)
· Job Board configuration (as necessary)
· Importing codes (Client specific –
organization, job, etc.)
· Report creation using Report Writer (up to 5)
Training
on the Recruiting Process. Visibility Project Manager will provide
training to Customer’s Implementation Team on the following topics
· Default requisition creation and modification process
· Default application process (applicant’s view)
· Searching for applicants
· Evaluating applicants
· Routing applicants
· Scheduling interviews
· Requesting approval for offers
· Adding of Tasks
· Creating and extending offer letters
· On-boarding process (notification of unselected
applicants, internal communication, new hire communication, new-hire task list)
· Closing requisitions
Administrative
Training. Visibility
Project Manager will provide training on the following topics
· Creating code tables
· Security (groups and user)
· Configuring the On-Boarding Questionnaire (Advanced
level: adding additional questions, building fillable forms and the form
approval process)
· Maintenance tools
· Accessing “Help”
If requested, Visibility will provide the following additional services
at an additional cost. Each item requires a separate Statement of Work. Most options can be done after the
implementation is complete.
· On-site implementation rather than via web
meetings (additional cost would apply).
· Data imports
o Applicant or requisition information not in a
prescribed excel format
o Applicant or requisition information not documented
as standard fields (see appendix for standard fields).
o Import formatted resumes for “Lite” clients.
· Programming
o Careers, Self Service and/or Agency Portal
pages with static corporate web page navigation.
o New Integration (HRIS systems, job boards,
assessment tools, etc.)
o Custom pages to allow for Customer specific
recruiting process not included in Cyber Recruiter.
o Custom criteria leveraged for security,
reporting, and/or Alerts
o Custom reports not available in Report Writer
· Services
o Develop internal training documentation
o Performing end-user (manager, employee, etc.)
training
o Develop webinars, online training, manuals,
etc.
Appendix
– List of Standard Importable Fields included in this Statement of Work
Applicant,
Requisition, and User files must be in an .xls file format for importing. Codes
must be in a .csv format and cannot have commas, ampersands, or asterisks as
part of the code or description.
