SOW Cyber Train
PLEASE READ THIS SOW CAREFULLY.
Contract Reference. This Statement of Work (“SOW”) is herein incorporated and made a part thereof of the Professional Services Agreement posted at www.visibilitysoftware.com/terms. To the extent this SOW provides additional terms and provisions to the Professional Services Agreement, the terms of this SOW shall prevail. All dates referenced refer to calendar (not business) days.
Completion Time. Upon execution of this Statement of Work
· Customer will pay Visibility or Partner, the agreed upon cost for implementation services.
· Visibility will schedule the Project Kick-Off upon receipt of the signed Statement of Work and payment of services.
· Customer can place the project on-hold at any point; projects on-hold may incur additional costs for having to re-execute training or other activities already completed.
· All services requested will be considered satisfied 180 days from the Project Kick-Off date.
Customer Will
· Determine their project team
· Designate one (1) employee to be their Project Coordinator and will notify Visibility of the same. Visibility’s Project Manager will work with the Project Coordinator in providing the Services.
· Determine up to five (5) core team members to be part of the implementation team.
· Determine the IT members of the team.
Customer’s Implementation Team Will
· Review Cyber Train Welcome and Navigation videos to understand key terms and information for data migration and use of Cyber Train.
· Gather and prepare data for migration (codes, courses, students, training history, credential records, and requirements) in prescribed Excel spreadsheet format prior to start of training/configuration meetings.
· Review and approve all data prior to and after data import into Cyber Train.
· Assist with Importing data into Cyber Train with oversight from Visibility Project Manager.
· Gather and prepare information for setup of desired training programs and required certifications, licenses and other credentials
· Make training process and setup decisions.
· Be involved in all product usage and administrative training sessions.
· Work together to ensure information is understood and disseminate topics to absent team members.
· Determine a contact for the students and users in case of login issues with the system.
· Be responsible for training materials to be used internally to train instructors, managers, approvers, students and additional staff.
Customer’s Technical Team Will
· Establish an email address which can be used as a “default” (i.e. training@yourcompany.com) for automatic emails generated from Cyber Train.
· Apply Visibility supplied credentials to the DNS which will be used for email addresses. This will provide verification coming from Cyber Train.
· Open any ports required and install any other utilities for integration or other processes.
Visibility Project Manager Will
· Develop a Project Plan, define roles and responsibilities, pull additional team members into project as needed, set a timeline for the project and review with the Customer.
· Review customer provided forms/processes to make recommendations on what information should be contained in Cyber Train.
· Provide the following tools to the Implementation Team
o Data migration guide and spreadsheets
o Standard procedure guide for the Customer to update and modify
o Exercise guide
o Access to “Basecamp” (Visibility Project Management tool) for the duration of the project.
o Links to Help Central where Customer can read about additional features and view recorded training sessions.
· Review information for the data migration of courses, students, training history, credential records, and requirements provided by client in an xls (not xlsx) to ensure proper formatting. (See appendix for lists of standard fields).
· Assist with configuring the Cyber Train import tool used to pull in data imports. This tool will be available via the administrative menu for ongoing importation of data after the implementation.
Visibility Technical Team Will
· Configure HRIS integration utilizing existing integrations
System Modification: Customer will start with a system designed to be used immediately with minimal modification. Visibility Project Manager will modify this system, for one company in the following areas which are client specific, based on client feedback.
· Course/Class detail fields and supporting drop-down values
· Credential and supporting drop-down values
· Home Page setup and access.
· Alerts (automated emails) setup
· Tuition Assistance (as necessary)
· External Class Request (as necessary)
· Report creation using Report Writer (up to 5)
Training on the Training Processes. Visibility Project Manager will provide training to Customer’s Implementation Team on the following usage topics
· Curriculum creation and modification
· Establishing student requirements
· Entering and updating student records
· Class creation, modification, and processes
· Credentials
Administrative Training. Visibility Project Manager will provide training on the following administrative topics:
· Creating code tables
· Security (Homepage, Group and User)
· Maintenance tools
· Accessing “Help”
If requested, Visibility will provide the following additional services at an additional cost. Each item requires a separate Statement of Work. Most options can be done after the implementation is complete.
· On-site implementation rather than via web meetings (additional cost would apply).
· Data imports
o Course, student, history, credential, or requirement information not in a prescribed excel format
o Student information not documented as standard fields (see appendix for standard fields).
· Programming
o New HRIS system integration(s)
o Custom pages to allow for Customer specific training processes not included in Cyber Train.
o Custom criteria leveraged for security, reporting, and/or Alerts
o Custom Alerts
o Reports not available in Report Writer
· Services
o SCORM Cloud Access (Enterprise clients only) and training on usage
o Assistance with/Training on Open Sesame Integration (Advanced clients only)
o Modifying Cyber Train for additional companies.
o Developing internal training documentation
o Performing end-user (manager, student, etc.) training
o Developing webinars, online training, manuals, etc.
